Marketing Workflow Automation
We build n8n, Zapier, and Make pipelines that route leads, sync your CRM, publish social posts, and assemble reports, so nothing depends on someone remembering.
Where this fits in the funnel
Faster lead response
New inquiries reach the right person by WhatsApp, email, or Slack within moments of submission, with the source and details attached, instead of waiting in an inbox.
One consistent data set
Contacts, deals, and campaign sources match across your forms, CRM, ad platforms, and spreadsheets, because the same record is written everywhere by the same rule.
Hours returned each week
Recurring copy-paste jobs such as report building, list updates, and post scheduling run on a schedule, leaving your team to check results rather than produce them.
What Marketing Workflow Automation involves
A lot of marketing breaks in the gaps between tools. A form submission sits in an inbox for a day. A lead from Facebook never reaches the CRM. Someone copies ad spend into a spreadsheet every Monday and occasionally gets it wrong. These are not strategy problems. They are plumbing problems, and they cost you leads and hours. We fix them by connecting your tools so data moves on its own, the moment something happens.
We build on n8n, Zapier, or Make, depending on your volume, budget, and how much control you need. Every pipeline is documented, has error alerts, and is built in accounts you own. Automation is not magic, though. APIs change, fields get renamed, and edge cases appear. So we design for failure: retries, fallbacks, and a clear notice to a person when something needs attention. You should always know what a workflow did and why.
Deliverables you can point to
Process and tool audit
We map every manual handoff in your marketing and sales process, list the tools involved, and check which have APIs, webhooks, or native integrations available.
Lead routing pipelines
We capture leads from website forms, Meta lead ads, Google lead forms, and chat, then assign them by service, location, or value and notify the owner.
CRM sync and deduplication
We create or update contacts and deals in your CRM, match on email and phone to avoid duplicates, and write the original campaign source to each record.
Automated reporting feeds
We pull spend, clicks, leads, and revenue from ad platforms and analytics into a Google Sheet or dashboard on a schedule, with consistent naming and date ranges.
Social publishing queues
We build a content calendar in Sheets, Airtable, or Notion that pushes approved posts to your social channels at set times, with a status column for review.
Follow-up and reminder flows
We trigger confirmation emails, WhatsApp or SMS acknowledgements, review requests, and internal task reminders based on form submissions, deal stages, or appointment dates.
Error handling and alerts
We add retries, fallback paths, and failure notifications to every workflow, plus a run log so you can see what was processed and what was skipped.
Documentation and handover
We deliver a diagram and written description of each workflow, a list of connected accounts and who owns each credential, and a short video showing how to edit it.
How the work runs
Map current handoffs
We sit with the people who handle leads, reports, and posting, and write down each step they take by hand, including the workarounds nobody has documented.
Choose the platform
We recommend n8n, Zapier, or Make based on task volume, data sensitivity, hosting preference, and running cost, and explain the tradeoffs so you can make the call.
Build in stages
We build one pipeline at a time in your own accounts, starting with the one that affects revenue most, and test it with sample data before it touches live records.
Run in parallel
For a short period the automation runs alongside the manual process. We compare results, fix mismatches and edge cases, and only then retire the manual steps.
Monitor and maintain
We watch run logs and error alerts, update workflows when a connected tool changes its API or fields, and add new automations as your process evolves.

Marketing Workflow Automation FAQ
Should we use n8n, Zapier, or Make?
Zapier is the quickest to set up and has the widest list of app connections, but costs rise with volume. Make handles branching logic well at a lower price per operation. n8n can be self-hosted, which suits higher volumes and stricter data requirements, but needs a server and some upkeep. We recommend one after seeing your tools, task volume, and who will maintain it.
What happens when a workflow breaks?
Workflows do break, usually because a connected app changes a field, a login expires, or unexpected data arrives. Each pipeline we build has retries for temporary failures and sends an alert to a named person when a run fails. Failed items are logged so they can be reprocessed rather than lost. On a maintenance plan, we handle the fix ourselves.
Do you need access to all our accounts?
We need enough access to connect the tools involved, and no more. Workflows are built inside automation accounts that you own, using your own app connections, so you keep control if we stop working together. Where possible we use scoped API keys or limited user roles instead of admin logins, and we list every connection in the handover document.
Can you automate tools that have no integration?
Often, yes. If a tool has an API or can send webhooks, we can connect it with custom requests. If it only offers exports, we can work with scheduled files or email parsing. If it has none of those, automation is unreliable and we will say so. In that case the honest options are a manual step or replacing the tool.
How is workflow automation priced?
Pricing is scoped per project through a custom proposal, based on the number of pipelines, how complex the logic is, and whether you want ongoing monitoring. Platform subscriptions for n8n, Zapier, or Make, and any hosting, are paid directly to those providers. We estimate those running costs up front so you can compare them with the time being saved.
