What Reputation & Review Management involves

People read reviews before they call, book, or buy, and reviews on your Google Business Profile also influence local search visibility. The problem for most good businesses is not bad service. It is that happy customers rarely think to leave a review, while unhappy ones are motivated. We fix the imbalance the honest way: by asking every customer, at the right moment, through a simple process that makes leaving a review easy.

We never write fake reviews, pay for reviews, or filter who gets asked based on how satisfied they are. Those practices break platform policies and consumer protection rules, and they put your listing at risk. Our work is the legitimate side: request flows by email, SMS, and WhatsApp, monitoring across the platforms that matter to your industry, thoughtful responses to every review, and a feedback loop that gets recurring complaints fixed.

A review of your ratings, review volume, recency, and response history across Google, Facebook, Trustpilot, and industry sites, compared with your main local competitors.

Profile claiming and cleanup

We claim and verify your profiles, correct business details, remove duplicates where platforms allow, and make sure each one links to the right location.

Review request flows

Automated email, SMS, or WhatsApp requests triggered by a completed job or delivered order, sent to every customer with a direct link to the review form.

Drafted or fully managed replies to positive and negative reviews, written in your voice, specific to the feedback, and free of private customer details.

Policy violation reporting

Reviews that are spam, off-topic, or from non-customers are flagged through each platform's official process, with evidence and follow-up where an appeal exists.

Feedback theme reports

Monthly reports on review volume, average rating, response time, and recurring themes by location, with practical recommendations for operations and staff training.

Process

How the work runs

Audit your presence

We record where you are reviewed, current ratings and volume, unanswered reviews, and listing errors, and identify which platforms matter most for your industry and location.

Set up request flows

We connect your CRM, booking, or order system to a review request sequence, write the messages, set timing and one polite reminder, and apply it to all customers equally.

Equip your team

Staff get short scripts, QR codes, and guidance on when to ask. We also agree who handles complaints and how quickly unhappy customers are contacted.

Monitor and respond

New reviews trigger alerts. We reply or draft replies within an agreed timeframe, escalate serious complaints to you, and report policy-violating reviews through official channels.

Report and improve

Each month we review trends, request-to-review rates, and common themes, then adjust message timing and wording and pass operational feedback to your managers.

Questions

Reputation & Review Management FAQ

Can you remove negative reviews?

Only if they break the platform's rules. Reviews that are spam, abusive, off-topic, a conflict of interest, or clearly about another business can be reported, and we handle that process with evidence. Genuine negative reviews from real customers cannot and should not be removed. The better approach is a calm, specific response and a growing number of recent positive reviews around them.

Do you write or buy reviews?

No. Fake and paid reviews violate the policies of Google, Trustpilot, and every other major platform, and regulators including the US Federal Trade Commission and the UK Competition and Markets Authority treat them as deceptive. Penalties can include removed reviews, suspended listings, and fines. Every review we help generate comes from a real customer describing a real experience.

Why don't you only ask happy customers?

Asking only satisfied customers, or routing unhappy ones to a private form while sending happy ones to Google, is called review gating. Google's policies prohibit it, and it can lead to review removal. We send the same request to everyone. You can still offer a separate support channel for complaints, as long as the public review option is equally available to all.

Can we offer discounts or gifts for reviews?

Google does not allow incentives in exchange for reviews, and consumer protection rules in the US and UK restrict them as well. Some platforms permit incentives only when disclosed and not conditional on a positive rating. Our default is no incentives. A timely, polite request with a direct link does the job without one and carries no policy risk.

How much does reputation management cost?

Pricing starts at $125 /month per location. Pricing is scoped per project through a custom proposal. It depends on how many locations and platforms are covered, whether we write responses or only draft them for approval, and which systems the request flows connect to. Any review software or SMS fees are billed by those providers. Get in touch on WhatsApp or email and we will outline a plan.
